SOP-000017
Policy Review Cycle Standard Operating Procedure for Document Control in General Business Operations
This SOP applies to General Business teams carrying out Policy Review Cycle within the Document Control process area and Operations department.
Overview
Purpose
This SOP defines the controlled method for Policy Review Cycle within Document Control / General Business / Operations. It explains the information that must be available before the procedure starts, the sequence of operational actions, the control that determines whether the work can proceed to closure, and the evidence that must remain available afterwards.
For this procedure, the operational sequence is centred on the following work: Confirm the document is the current controlled version, identify its owner and determine whether the scheduled or event-driven review requires amendment. Review the content against current process practice and applicable requirements, record proposed changes and obtain the required review and approval before publication. Publish the approved version, archive or withdraw the superseded version, notify affected users where necessary and record the next review date. Following that sequence consistently helps the organisation avoid incomplete records, unclear ownership, missed controls and unsupported decisions.

Scope
Included
This SOP applies to General Business teams carrying out Policy Review Cycle within the Document Control process area and Operations department. It covers preparation, required inputs, execution, control checks, evidence, exceptions, approval or review where required, communication and closure.
The procedure should be adapted to the organisation's own systems, job titles, approval limits and record locations before operational use. Tasks outside the stated process, specialist decisions or circumstances requiring a different controlled procedure should be referred to the appropriate owner rather than forced through this workflow.
Outside this SOP
This SOP does not replace organisation-specific approval limits, specialist professional judgement, local legal requirements or site-specific controls.
Responsible roles
Primary owner: process owner or department supervisor. Supporting role: document controller or compliance reviewer. The primary owner coordinates and completes the operational record, the supporting role provides subject-specific input where required, and any designated reviewer or approver confirms that the control result and evidence are sufficient before closure.
Required information and systems
Primary working system or record location: the controlled document or case-management system, approval workflow and document library. Required working information: document owner, current approved version, review due date, proposed change or review reason, applicable requirements, approval route, publication location and next review date. Evidence retained at completion: review record, tracked or proposed changes, approval evidence, published version, archive or withdrawal record, user notification where required and review schedule. Use the current approved forms, system records and controlled documents used by the organisation for this procedure.
Procedure overview
Policy Review Cycle starts when the relevant request, event or scheduled activity is ready to be processed. The process owner or department supervisor first verifies the required inputs and scope, then completes the three core actions defined for this procedure: confirm the document is the current controlled version, identify its owner and determine whether the scheduled or event-driven review requires amendment. review the content against current process practice and applicable requirements, record proposed changes and obtain the required review and approval before publication. publish the approved version, archive or withdraw the superseded version, notify affected users where necessary and record the next review date.
Before closure, the record must pass the principal control check: confirm version number, named owner, approval, publication location, superseded-copy control and next review date are complete. Failed checks or unresolved exceptions remain open with a named owner. The procedure is complete only when the result, evidence, approvals where applicable, communications and follow-up actions accurately describe the final operational position.
How this SOP helps
This document gives the responsible team a consistent way to complete Policy Review Cycle, verify the result and retain evidence that the required process was followed.
Before using this procedure

Procedure preview
This preview stops at a complete procedure-step boundary. Locked steps and checklist material are not sent to the browser.
- Step 1
Open or create the working record for Policy Review Cycle in the controlled document or case-management system, approval workflow and document library. Record the request, event, schedule or business reason that started the procedure, the date and time, location where relevant, responsible owner and target completion date.
- Step 2
Confirm that Policy Review Cycle is the correct procedure for the work being performed. Check the current SOP reference SOP-000017, the Document Control / General Business / Operations context and any existing related record before continuing.
- Step 3
Gather and verify the required inputs before work begins: document owner, current approved version, review due date, proposed change or review reason, applicable requirements, approval route, publication location and next review date. If a required input is missing or unreliable, pause the procedure and obtain the missing information rather than working around the control.
- Step 4
Assign operational ownership to the process owner or department supervisor. Record any required contribution from document controller or compliance reviewer and identify the person who will review or approve the completed work where a separate review is required.
