SOP-000515
Client File Setup Standard Operating Procedure for Document Control in Professional Services Customer Support
This SOP applies to Professional Services teams carrying out Client File Setup within the Document Control process area and Customer Support department.
Overview
Purpose
This SOP defines the controlled method for Client File Setup within Document Control / Professional Services / Customer Support. It explains the information that must be available before the procedure starts, the sequence of operational actions, the control that determines whether the work can proceed to closure, and the evidence that must remain available afterwards.
For this procedure, the operational sequence is centred on the following work: Create the client file using the approved naming structure and record the client identifier, account owner, scope and opening date. Apply the correct permissions, folder structure, document categories and retention settings before confidential information is added. Confirm the required engagement documents are present, the owner can access the file and no unrelated users have inappropriate access. Following that sequence consistently helps the organisation avoid incomplete records, unclear ownership, missed controls and unsupported decisions.

Scope
Included
This SOP applies to Professional Services teams carrying out Client File Setup within the Document Control process area and Customer Support department. It covers preparation, required inputs, execution, control checks, evidence, exceptions, approval or review where required, communication and closure.
The procedure should be adapted to the organisation's own systems, job titles, approval limits and record locations before operational use. Tasks outside the stated process, specialist decisions or circumstances requiring a different controlled procedure should be referred to the appropriate owner rather than forced through this workflow.
Outside this SOP
This SOP does not replace organisation-specific approval limits, specialist professional judgement, local legal requirements or site-specific controls.
Responsible roles
Primary owner: customer support lead. Supporting role: document controller or compliance reviewer. The primary owner coordinates and completes the operational record, the supporting role provides subject-specific input where required, and any designated reviewer or approver confirms that the control result and evidence are sufficient before closure.
Required information and systems
Primary working system or record location: the controlled document or case-management system, approval workflow and document library. Required working information: client identity, engagement or contract reference, responsible account owner, scope of work, required documents, access permissions, naming convention and retention requirement. Evidence retained at completion: client setup checklist, engagement reference, folder or system record, permissions record, required opening documents and owner confirmation. Use the current approved forms, system records and controlled documents used by the organisation for this procedure.
Procedure overview
Client File Setup starts when the relevant request, event or scheduled activity is ready to be processed. The customer support lead first verifies the required inputs and scope, then completes the three core actions defined for this procedure: create the client file using the approved naming structure and record the client identifier, account owner, scope and opening date. apply the correct permissions, folder structure, document categories and retention settings before confidential information is added. confirm the required engagement documents are present, the owner can access the file and no unrelated users have inappropriate access.
Before closure, the record must pass the principal control check: confirm unique client identification, correct permissions, required opening documents, naming control and accountable ownership. Failed checks or unresolved exceptions remain open with a named owner. The procedure is complete only when the result, evidence, approvals where applicable, communications and follow-up actions accurately describe the final operational position.
How this SOP helps
This document gives the responsible team a consistent way to complete Client File Setup, verify the result and retain evidence that the required process was followed.
Before using this procedure

Procedure preview
This preview stops at a complete procedure-step boundary. Locked steps and checklist material are not sent to the browser.
- Step 1
Open or create the working record for Client File Setup in the controlled document or case-management system, approval workflow and document library. Record the request, event, schedule or business reason that started the procedure, the date and time, location where relevant, responsible owner and target completion date.
- Step 2
Confirm that Client File Setup is the correct procedure for the work being performed. Check the current SOP reference SOP-000515, the Document Control / Professional Services / Customer Support context and any existing related record before continuing.
- Step 3
Gather and verify the required inputs before work begins: client identity, engagement or contract reference, responsible account owner, scope of work, required documents, access permissions, naming convention and retention requirement. If a required input is missing or unreliable, pause the procedure and obtain the missing information rather than working around the control.
- Step 4
Assign operational ownership to the customer support lead. Record any required contribution from document controller or compliance reviewer and identify the person who will review or approve the completed work where a separate review is required.
