SOP-000288

New Employee Onboarding Standard Operating Procedure for Human Resources in Healthcare Support Human Resources

This SOP applies to Healthcare Support teams carrying out New Employee Onboarding within the Human Resources process area and Human Resources department.

Overview

Purpose

This SOP defines the controlled method for New Employee Onboarding within Human Resources / Healthcare Support / Human Resources. It explains the information that must be available before the procedure starts, the sequence of operational actions, the control that determines whether the work can proceed to closure, and the evidence that must remain available afterwards.

For this procedure, the operational sequence is centred on the following work: Create the employee setup record and confirm that HR, IT, payroll, facilities and the line manager understand their required actions. Schedule induction, access setup, equipment issue, policy acknowledgement and training tasks in the correct sequence. Confirm the new starter has received the required access, equipment, policy information, training schedule and manager contact before the start date. Following that sequence consistently helps the organisation avoid incomplete records, unclear ownership, missed controls and unsupported decisions.

Scope

Included

This SOP applies to Healthcare Support teams carrying out New Employee Onboarding within the Human Resources process area and Human Resources department. It covers preparation, required inputs, execution, control checks, evidence, exceptions, approval or review where required, communication and closure.

The procedure should be adapted to the organisation's own systems, job titles, approval limits and record locations before operational use. Tasks outside the stated process, specialist decisions or circumstances requiring a different controlled procedure should be referred to the appropriate owner rather than forced through this workflow.

Outside this SOP

This SOP does not replace organisation-specific approval limits, specialist professional judgement, local legal requirements or site-specific controls.

Responsible roles

Primary owner: HR administrator or HR manager. Supporting role: department manager. The primary owner coordinates and completes the operational record, the supporting role provides subject-specific input where required, and any designated reviewer or approver confirms that the control result and evidence are sufficient before closure.

Required information and systems

Primary working system or record location: the HR system, training matrix, and employee record folder. Required working information: employee start date, signed offer or contract reference, role details, manager name, right-to-work or eligibility checks where applicable, equipment needs, access requirements and induction plan. Evidence retained at completion: employee record, onboarding checklist, access approvals, equipment issue record, induction attendance, policy acknowledgements and payroll setup confirmation. Use the current approved forms, system records and controlled documents used by the organisation for this procedure.

Procedure overview

New Employee Onboarding starts when the relevant request, event or scheduled activity is ready to be processed. The HR administrator or HR manager first verifies the required inputs and scope, then completes the three core actions defined for this procedure: create the employee setup record and confirm that HR, IT, payroll, facilities and the line manager understand their required actions. schedule induction, access setup, equipment issue, policy acknowledgement and training tasks in the correct sequence. confirm the new starter has received the required access, equipment, policy information, training schedule and manager contact before the start date.

Before closure, the record must pass the principal control check: verify that no system access is issued without approval and that payroll, HR and training records are complete. Failed checks or unresolved exceptions remain open with a named owner. The procedure is complete only when the result, evidence, approvals where applicable, communications and follow-up actions accurately describe the final operational position.

This preview stops at a complete procedure-step boundary. Locked steps and checklist material are not sent to the browser.

  1. Step 1

Open or create the working record for New Employee Onboarding in the HR system, training matrix, and employee record folder. Record the request, event, schedule or business reason that started the procedure, the date and time, location where relevant, responsible owner and target completion date.

  2. Step 2

Confirm that New Employee Onboarding is the correct procedure for the work being performed. Check the current SOP reference SOP-000288, the Human Resources / Healthcare Support / Human Resources context and any existing related record before continuing.

  3. Step 3

Gather and verify the required inputs before work begins: employee start date, signed offer or contract reference, role details, manager name, right-to-work or eligibility checks where applicable, equipment needs, access requirements and induction plan. If a required input is missing or unreliable, pause the procedure and obtain the missing information rather than working around the control.

  4. Step 4

Assign operational ownership to the HR administrator or HR manager. Record any required contribution from department manager and identify the person who will review or approve the completed work where a separate review is required.
