SOP-000330

Fire Alarm Weekly Test Standard Operating Procedure for Health and Safety in Education Facilities

This SOP applies to Education teams carrying out Fire Alarm Weekly Test within the Health and Safety process area and Facilities department.

Overview

Purpose

This SOP defines the controlled method for Fire Alarm Weekly Test within Health and Safety / Education / Facilities. It explains the information that must be available before the procedure starts, the sequence of operational actions, the control that determines whether the work can proceed to closure, and the evidence that must remain available afterwards.

For this procedure, the operational sequence is centred on the following work: Place the system into the approved test arrangement, notify affected monitoring contacts or occupants where required and identify the designated call point or device for this week's test. Operate the designated test device and verify the expected panel indication, audible or visual alarm response and monitoring signal where the site arrangement requires it. Reset the fire alarm system, confirm it has returned to normal operating condition and record or escalate any fault before leaving the system in service. Following that sequence consistently helps the organisation avoid incomplete records, unclear ownership, missed controls and unsupported decisions.

Scope

Included

This SOP applies to Education teams carrying out Fire Alarm Weekly Test within the Health and Safety process area and Facilities department. It covers preparation, required inputs, execution, control checks, evidence, exceptions, approval or review where required, communication and closure.

The procedure should be adapted to the organisation's own systems, job titles, approval limits and record locations before operational use. Tasks outside the stated process, specialist decisions or circumstances requiring a different controlled procedure should be referred to the appropriate owner rather than forced through this workflow.

Outside this SOP

This SOP does not replace organisation-specific approval limits, specialist professional judgement, local legal requirements or site-specific controls.

Responsible roles

Primary owner: facilities coordinator. Supporting role: safety lead. The primary owner coordinates and completes the operational record, the supporting role provides subject-specific input where required, and any designated reviewer or approver confirms that the control result and evidence are sufficient before closure.

Required information and systems

Primary working system or record location: the fire alarm panel or test equipment, fire logbook, defect record and site fire-safety documentation. Required working information: weekly test schedule, fire alarm panel location, designated call point or test device, responsible person, monitoring or alarm-receiving-centre contact where applicable, logbook and fault escalation contact. Evidence retained at completion: fire alarm logbook entry, call point or zone tested, panel result, monitoring confirmation where applicable, fault record and corrective-action reference. Use the current approved forms, system records and controlled documents used by the organisation for this procedure.

Procedure overview

Fire Alarm Weekly Test starts when the relevant request, event or scheduled activity is ready to be processed. The facilities coordinator first verifies the required inputs and scope, then completes the three core actions defined for this procedure: place the system into the approved test arrangement, notify affected monitoring contacts or occupants where required and identify the designated call point or device for this week's test. operate the designated test device and verify the expected panel indication, audible or visual alarm response and monitoring signal where the site arrangement requires it. reset the fire alarm system, confirm it has returned to normal operating condition and record or escalate any fault before leaving the system in service.

Before closure, the record must pass the principal control check: confirm the scheduled test operated the expected alarm indication, the system reset to normal condition and every fault has been recorded and escalated. Failed checks or unresolved exceptions remain open with a named owner. The procedure is complete only when the result, evidence, approvals where applicable, communications and follow-up actions accurately describe the final operational position.

How this SOP helps

Procedure preview

This preview stops at a complete procedure-step boundary. Locked steps and checklist material are not sent to the browser.

  1. Step 1

Open or create the working record for Fire Alarm Weekly Test in the fire alarm panel or test equipment, fire logbook, defect record and site fire-safety documentation. Record the request, event, schedule or business reason that started the procedure, the date and time, location where relevant, responsible owner and target completion date.

  2. Step 2

Confirm that Fire Alarm Weekly Test is the correct procedure for the work being performed. Check the current SOP reference SOP-000330, the Health and Safety / Education / Facilities context and any existing related record before continuing.

  3. Step 3

Gather and verify the required inputs before work begins: weekly test schedule, fire alarm panel location, designated call point or test device, responsible person, monitoring or alarm-receiving-centre contact where applicable, logbook and fault escalation contact. If a required input is missing or unreliable, pause the procedure and obtain the missing information rather than working around the control.

  4. Step 4

Assign operational ownership to the facilities coordinator. Record any required contribution from safety lead and identify the person who will review or approve the completed work where a separate review is required.
