SOP-000051

Emergency Evacuation Drill Standard Operating Procedure for Facilities Management in General Business Compliance

This SOP applies to General Business teams carrying out Emergency Evacuation Drill within the Facilities Management process area and Compliance department.

Overview

Purpose

This SOP defines the controlled method for Emergency Evacuation Drill within Facilities Management / General Business / Compliance. It explains the information that must be available before the procedure starts, the sequence of operational actions, the control that determines whether the work can proceed to closure, and the evidence that must remain available afterwards.

For this procedure, the operational sequence is centred on the following work: Confirm the drill plan, alarm method, wardens, evacuation routes, muster point, accessibility arrangements and any essential pre-drill notifications. Run the drill and record alarm activation, evacuation progress, route use, muster activity, headcount or accountability result and observed delays or unsafe behaviour. Debrief wardens and observers, record lessons learned and assign corrective actions for route, alarm, communication, accountability or behaviour issues. Following that sequence consistently helps the organisation avoid incomplete records, unclear ownership, missed controls and unsupported decisions.

Scope

Included

This SOP applies to General Business teams carrying out Emergency Evacuation Drill within the Facilities Management process area and Compliance department. It covers preparation, required inputs, execution, control checks, evidence, exceptions, approval or review where required, communication and closure.

The procedure should be adapted to the organisation's own systems, job titles, approval limits and record locations before operational use. Tasks outside the stated process, specialist decisions or circumstances requiring a different controlled procedure should be referred to the appropriate owner rather than forced through this workflow.

Outside this SOP

This SOP does not replace organisation-specific approval limits, specialist professional judgement, local legal requirements or site-specific controls.

Responsible roles

Primary owner: compliance officer. Supporting role: department manager. The primary owner coordinates and completes the operational record, the supporting role provides subject-specific input where required, and any designated reviewer or approver confirms that the control result and evidence are sufficient before closure.

Required information and systems

Primary working system or record location: the fire alarm panel or test equipment, fire logbook, defect record and site fire-safety documentation. Required working information: drill plan, site or building, drill date and time, responsible person, wardens, evacuation routes, muster point, accessibility requirements, attendance method and observer checklist. Evidence retained at completion: drill plan, attendance or accountability record, evacuation timing, observer notes, warden feedback, photographs where appropriate, corrective actions and responsible-person sign-off. Use the current approved forms, system records and controlled documents used by the organisation for this procedure.

Procedure overview

Emergency Evacuation Drill starts when the relevant request, event or scheduled activity is ready to be processed. The compliance officer first verifies the required inputs and scope, then completes the three core actions defined for this procedure: confirm the drill plan, alarm method, wardens, evacuation routes, muster point, accessibility arrangements and any essential pre-drill notifications. run the drill and record alarm activation, evacuation progress, route use, muster activity, headcount or accountability result and observed delays or unsafe behaviour. debrief wardens and observers, record lessons learned and assign corrective actions for route, alarm, communication, accountability or behaviour issues.

Before closure, the record must pass the principal control check: confirm the drill was completed, people were accounted for using the planned method, material problems were documented and corrective actions have owners. Failed checks or unresolved exceptions remain open with a named owner. The procedure is complete only when the result, evidence, approvals where applicable, communications and follow-up actions accurately describe the final operational position.

Procedure preview

This preview stops at a complete procedure-step boundary. Locked steps and checklist material are not sent to the browser.

  1. Step 1

Open or create the working record for Emergency Evacuation Drill in the fire alarm panel or test equipment, fire logbook, defect record and site fire-safety documentation. Record the request, event, schedule or business reason that started the procedure, the date and time, location where relevant, responsible owner and target completion date.

  2. Step 2

Confirm that Emergency Evacuation Drill is the correct procedure for the work being performed. Check the current SOP reference SOP-000051, the Facilities Management / General Business / Compliance context and any existing related record before continuing.

  3. Step 3

Gather and verify the required inputs before work begins: drill plan, site or building, drill date and time, responsible person, wardens, evacuation routes, muster point, accessibility requirements, attendance method and observer checklist. If a required input is missing or unreliable, pause the procedure and obtain the missing information rather than working around the control.

  4. Step 4

Assign operational ownership to the compliance officer. Record any required contribution from department manager and identify the person who will review or approve the completed work where a separate review is required.
